Mission Advancement Operations Manager
Position Overview:
The Mission Advancement Operations Manager will play a key role in strengthening the back endsystems that power our fundraising and donor engagement work. This detailed-oriented and proactive professional will support the Mission Advancement team by managing the operational aspects of donor communications, grant tracking, grant writing, stewardship, and reporting.
Key Responsibilities:
Project Management & Campaign Support
- Lead execution of annual appeal and direct mail campaigns, including timelines, vendor coordination, and internal approvals
- Coordinate the development and production of the annual report (working with marketing in gathering content and managing timelines)
- Maintain the overall Mission Advancement calendar, tracking key deadlines for mailings, campaigns, and events
- Manage grant calendars, and tracking systems to ensure timely submissions
- Collaborate with staff, finance, and consultants to collect data
- Grant proposals as needed
- Identify and research grant opportunities
- Develop and maintain systems to track stewardship touchpoints (calls, notes, events, gifts)
- Support implementation of donor recognition and engagement plans
- Help ensure personalized stewardship strategies are carried out on time
- Execute the creation of all annual stewardship reports (fund reports, scholarship profiles, scholarship reports, endowment reports) and materials ensuring dynamic and inspiring deliverables are shared with our donors
- Manage the gathering, writing and editing of pertinent information necessary to appropriately steward and engage donors including the management of thank you letters from student recipients.
- Manage the reporting and data needs for donors, using multiple databases and systems, including managing the updating and tracking data, uploading documents and files, and entering project-related information to ensure accuracy and timeliness.
- Work to improve the stewardship activities for all donors by incorporating new ideas to maximize engagement for donors
- Design and implement donor surveys for the purpose of refining and improving reports and events; utilize results to help suggest changes as needed.
- Plan, organize and follow up from various stewardship events
- Collaboration with marketing for event invitations, stewardship reports and other needs as necessary
- Segment database to identify/categorize donors
- Ensure Data-Driven strategies
- Use giving trends, event attendance, and engagement data to support data-informed prospecting
- Analyze and report on what types of appeals are working and with whom
- Build and manage research systems – Donor Search
- Create templates for prospect profiles and giving histories
- Run wealth screenings or analyze existing donors for upgrade potential

Qualifications & Skills
- 3+ years of experience in nonprofit development, fundraising operations, or related roles
- Strong project management skills and a love of checklists, calendars, and deadlines
- Familiarity with donor databases/CRMs
- Excellent attention to detail and ability to manage multiple projects at once
- Strong writing and communication skills
- Ability to work both independently and collaboratively

Salary Range: $70K-$80K
